  For how to actively distribute the newsletters if you go the email route there’s several services (unless you’re cool with just whacking everyone’s email into a BCC list and sending manually, of course) you might find Tiny Letter useful.   Others, try using Hotel.com and booking.com in advance, but they are not guaranteed rooms, and almost every year I see people trying to argue with the front desk that they have a reservation.
